Job Description

Main Purpose: To maintain proper document control principle and to oversee that all the employee documentation, correspondence and records are stored and managed safely, securely and efficiently via the document control procedures. As well as processing of Accounts via SAP (upload, recon and payment requests).

 

Key Performance Areas:

Document Control

  • Create and maintain employee personnel files.
  • Identify records that are due for storing, preservation and disposal purposes.

 

HCM Accounts

  • Receive invoices for services rendered.
  • Capture on SAP accounting system.
  • Reconciliation of accounts.
  • Manage release requests.
  • Vodacom account allocation.
  • Submission of special payment requests where applicable.

 

HCM Administration

  • Submission of DOL overtime exemption requests.
  • Submission of “Risk shifts” payments as per Department of health portal.
  • Assist HCM Department with onboarding of new employees.
  • Scheduling and correspondence of termination process and ticket submission.
  • Compiling of pre-defined information for internal and external audits.
  • Receive, file, system input and reporting of company IR documentation.
  • Scheduling of HCM pool vehicles and management thereof.
  • Update and maintain document registers.
  • Assist in maintaining functional documentation equipment.
  • Any other job-related duties as required from time to time.

Preferred Requirements:

  • Grade 12/N3.
  • 3 Years’ experience in a Document Control or administrative role.
  • Experience working on SAP will be advantageous.
  • Knowledge of Document Management systems and processes.
  • Knowledge of the application (EDMS) Bentley eB Director would be advantageous.
  • Computer literate (MS Office suite and SAP).
